Business Need: Previously, SIMgroep was using an outdated system that needed to be replaced. They were looking for new multi-channel technology that would integrate seamlessly with existing business systems.
Solution: SIMbestuur is a back office system in which all important data of the district are recorded. The product contains a central API which provides data for various websites and mobile applications. This makes it possible to display the data from SIMbestuur onto the website for citizens, or in the app for district employees.
Every district can grant users access to SIMbestuur. In addition, they can link the system to various business systems. For example, a meeting with dozens of agenda items and attached documents can be stored in SIMbestuur, so the right people can access the right documents. While previously hundreds of documents would circulate between different departments, they are now available in one central location.
District employees can easily create, schedule and publish a meeting on various media. They can add agenda items to it, and attach various documents for discussion. Then they can invite users, who will subsequently be notified of the meeting in their calendars and are able to access the documents.
In addition, the integration with webcast makes it possible to view meetings in real time or afterwards. Council members and citizens can log in to the website and/or the app, view the live video and access the accompanying documents.
Because of the quantity of files, SIMbestuur is seamlessly integrated with Microsoft Azure Storage, a cloud storage based in the Netherlands.
Maintenance and backup of the system are provided by JAM-IT. In addition, we will continue to develop the product, so SIMgroep and its clients can always be sure of the latest technology.
Results: Planning meetings is made more accessible to employees of the districts. Users are able to navigate through systems and files easily, making their work processes more efficient. All kinds of manual labour are automated, minimizing the amount of time spent copying, pasting and moving documents. Moreover, every meeting can be broadcast to be viewed by citizens instantly.
Using Mendix, JAM-IT was able to produce SIMbestuur faster and more efficiently, which saved both SIMgroep and their clients time and money. Furthermore, JAM-IT provides a flexible approach and a fast response to customer needs.
