Before MATAF, material inventory management was largely manual, relying on Excel sheets and fragmented departmental systems. This created time-consuming processes, error-prone administration, and a lack of transparency. For a city constantly under development, with contractors needing materials daily for multiple projects, a scalable, user-friendly digital solution was essential. The municipality required a system that would simplify inventory management for both contractors and municipal warehouse staff while integrating with existing logistics workflows.
Business Need: Before MATAF, material inventory management was largely manual, relying on Excel sheets and fragmented departmental systems.
Solution: JAM-IT developed a dual-platform solution tailored to the needs of the municipality: Native app for contractors Contractors can quickly request materials for specific projects using smart filters for size, color, and type. Orders are digitally linked to projects or sub-projects, simplifying planning and reducing errors. Web app for back-office and warehouse staff Municipal employees gain a centralized overview of orders, inventory, and logistics schedules. Materials can be prepared for pickup or scheduled for delivery directly to project sites. The intuitive interface and clear categorization make the ordering process as simple as shopping online. Once an order is placed and approved in the app, it is automatically processed by logistics planners and warehouse staff. The system integrates with the municipality’s operational processes, enabling orders to be sent to suppliers and deliveries scheduled accurately. Both external deliveries and materials from municipal warehouses are centrally managed and fully documented, streamlining operations for all parties involved. The development followed an Agile methodology, with continuous feedback from the municipal staff who manage inventory daily. This co-creative approach ensured that the system aligns perfectly with real-world workflows.
Results: MATAF has dramatically improved inventory management for thousands of materials used in public spaces. Key benefits include: Significant time savings for contractors and municipal departments Reduced errors in order processing and deliveries Full transparency throughout the ordering and inventory process The app is now used daily by dozens of contractors and municipal staff, creating a more efficient and reliable logistics workflow that directly supports the progress of construction and maintenance projects across Rotterdam. The collaboration between JAM-IT and the Municipality of Rotterdam continues to evolve. MATAF is continuously enhanced to meet the growing demand for efficient, digital inventory management solutions. This project demonstrates how smart digitalization in the public and construction sectors can accelerate processes, strengthen collaboration, and deliver sustainable results.
