Master Data Management in Clinical Supply chain

Description

The organization requires a more robust and controlled approach to managing critical data and processes, as the current reliance on Excel and email introduces significant operational risks and inefficiencies. There is a clear need to: Improve data quality through built-in validation and governance mechanisms Eliminate versioning issues by introducing a single, centralized source of truth Reduce manual effort and dependency on key individuals, particularly for repetitive validation and input tasks Increase process efficiency and reliability by replacing fragmented, manual workflows with a structured, auditable solution Addressing these challenges will reduce operational overhead, mitigate risk, and enable more scalable and consistent execution of business processes.

General Information

Business Need: The organization requires a more robust and controlled approach to managing critical data and processes, as the current reliance on Excel and email introduces significant operational risks and inefficiencies.

Solution: A centralized Master Data Management (MDM) application embedded within the OMP landscape, designed to standardize and control the full lifecycle of master data. The solution enables automated creation, modification, and inactivation of master data, replacing manual and fragmented handling with structured, workflow-driven processes. By introducing clear governance, validation, and auditability, it ensures consistency and reliability across the organization. Built to operate in GxP-compliant environments, the application supports strict regulatory requirements while providing a scalable and efficient foundation for managing critical data.

Results: The solution delivered a significant step change in how master data is managed, shifting from manual, error-prone processes to a streamlined, governed approach. Manual validation and data entry activities were largely eliminated through process automation, directly reducing operational effort and increasing throughput. At the same time, data integrity is ensured by design, with validation embedded upfront so only high-quality, compliant data enters the GxP-regulated OMP environment. Through integration with Snowflake, the organization now operates on real-time, up-to-date data, improving decision-making and reducing inconsistencies across systems. Full auditability provides clear accountability, with complete traceability of changes and insights into processing times, enabling better control and continuous improvement. The solution was implemented rapidly using Mendix and Mendix Workflow, leveraging a reusable starter application with built-in SSO and standardized UI/UX components. It supports scalable, multi-step approval flows across different request types, creating a flexible foundation that can evolve with the organization’s needs.
